Guidance notes to assist in the completion of the annual School Estates Core Facts survey.

General points

The survey has been set up to request authority level information first before gathering information on each school. This approach was felt to be more intuitive than following the order of the core facts and moving between school and LA level information.

As a guide, some of the information supplied in the survey last year has been pre-populated into the survey form. If this information has not changed, you need take no action against these cells and resubmit the previous data.

As you enter and save data you, will be prompted with error messages that can be corrected as you go, or you can review all of the validation at the end of the process.

It is anticipated that other users will upload their data via the spreadsheet template. The template should be completed fully with all relevant information for all schools in a local authority before uploading it to ProcXed. Leaving fields blank in the template will overwrite data that has been pre-populated in the survey form, and this may generate errors. Additionally, please do not delete or change the order of columns in the template.

Please complete and return the survey via the online tool by 3 May 2024.

Other important points to take

Decant accommodation

If your school has been decanted to temporary accommodation whilst a new build/refurbishment is being undertaken, please return school estates information for the decant accommodation, not the original school building that is no longer occupied. You should answer ‘yes’ to the question ‘Are there confirmed plans to change the condition and/or suitability?’ and enter the date that the new build/refurbishment is due to be completed.

If a school has been decanted into the same site as another school with a differing SEED code and they share facilities such as playgrounds, sports pitches, gym and/or assembly halls this should be recorded as a shared campus.

Planned building work

Question 5.7 relates to planned building work to change the condition and/or suitability of the school only. It does not include plans to undertake a new condition and/or suitability survey.
