This information is for people in organisations who have received a grant offer letter from us.
Change request forms
Organisations should be working to the budget agreed by Scottish Government officials. If there are any changes to the way in which an organisation proposes to use Equality Budget funding, a Change Request Form (CRF) should be completed and returned to the Equality Unit (EqualityBudgetFunding@gov.scot) for consideration.
The CRF is intended to ensure consistency in the way in which changes in spend are managed across funded organisations, and a CRF should be completed if there is a proposed change to outcomes, planned activities or staffing complement. Scottish Government authorisation for the proposal must be received before any changes are implemented. The CRF and a copy of the Excel spreadsheet to be completed as part of this process can be requested by emailing EqualityBudgetFunding@gov.scot.
Process for funding recipients
Please note that going forward, all claims for payment and financial and progress reports should be sent to EqualityBudgetFunding@gov.scot. Any queries should also be directed to this mailbox in the first instance.
Forms should be completed and submitted each quarter in accordance with the payment schedule specified in your grant offer letter. For each funding period (July – June) the following documentation is required:
Quarter 1 (July to September)
Complete and return:
1. The claim form to draw down the quarter 1 instalment
Quarter 2 (October to December)
Complete and return:
1. The claim form to draw down the quarter 2 instalment
2. A financial report of actual expenditure in quarter 1
Quarter 3 (January to March)
Complete and return:
1. The claim form to draw down the quarter 3 instalment
2. A financial report of actual expenditure in quarters 1 and 2
3. A six month progress report form to report progress from July to December
Quarter 4 (April to June)
Complete and return:
1. The claim form to draw down the quarter 4 instalment
2. A financial report of actual expenditure in quarters 1, 2 and 3 and anticipated expenditure in quarter 4
By the end of July
Complete and return:
1. A financial report of actual expenditure from 1 July to 30 June
2. An annual progress report form to report progress from 1 July to 30 June
