Making sure that you have a recording and monitoring system is important to ensure that you have identified the risks associated with your workplace, and that you are implementing the necessary mitigating measures. In the event of an outbreak or discussion with regulators, it will help you show that you have taken all reasonable and practical steps to manage the risks. The examples of documentation below are not exhaustive, you may wish to keep other risk management and assurance documents not mentioned below.

  • risk assessments and the introduction of mitigation measures should be part of regular, ongoing dialogue between organisations and trade union or workforce representatives. In consultation with your employees, have you undertaken a workplace risk assessment and is your risk assessment documented?  
  • any gaps identified?
  • do your risk assessments consider (unintended) equalities impacts (e.g. handwashing station height)?  
  • when was the risk assessment last reviewed?
  • have you undertaken individual risk assessments in consultation with employees? An individual risk assessment guidance and tool has been developed to help staff and managers consider the specific risk of COVID-19 relevant to staff members in the workplace. It will calculate your “Covid age”. It is relevant to all of your staff, but will be particularly relevant to those returning to work after shielding, returning to normal duties after COVID-19 related restrictions, returning to the workplace after working from home or anyone who has a concern about a particular vulnerability to COVID-19.  
  • is your cleaning schedule for all parts of workplace documented?  
  • any gaps identified?  
  • do you have a documented procedure in place for enhanced cleaning in the event your workplace is notified of a confirmed case amongst workforce?
  • do you have evidence of enhanced cleaning implementation? 
  • do you have training records for workplace COVID-19 procedures?  
  • do you operate bubbles/work cohorts within your workforce (e.g. keeping group of the same workers together) and are these documented and monitored?
