What is PECOS?

The Professional Electronic Commerce Online System (PECOS) is a cloud based purchase to pay system which can be accessed via any secure online connection. PECOS is used by a wide range of public bodies including central and local government organisations, NHS Boards and universities and colleges. By using PECOS public bodies are able to reduce the paperwork and inefficiencies associated with paper processing of purchase orders, goods receipts, invoices and returns. It can also increase control and accountability of spend through the use of flexible approval workflows which help to support and drive procurement controls and procedures. 

How does PECOS work?
1. User logs in to PECOS via a web address (unique to the public body), with a secure username and password. 2. User creates a requisition from either a catalogue. non-catalogue or punch out site. Financial tracking is applied and the order is sent for approval. 3. The approver logs in to the system, makes the relevant checks and approves the requisition (email notification is optional at this stage). 4. Requsition becomes a purchase order and is then submitted to the supplier via email.

An audit trail will allow the user to see the status of the order at any time.
